What the Virtual Office is intended for

- A single repository for all those usernames, passwords and web addresses that we often forget and do not record anywhere. Not a problem perhaps until you change your smartphone, or laptop, or simply cannot remember a password. Creating another password is sometimes an option, but it takes time and can soon become an unnecessary stress after a while if repeated too often.

- The Virtual Office can store a lot of detailed information for each account that is structured and easily located using the built-in navigational software tools. Information that may be useful when renewing or updating an account, or performing a transaction. Especially if travelling, in the office, or away from home for some other reason.

- Each account has a history log of all transactions that are easily entered and referred to. There is also a notepad and option to include a photograph or scanned document if required. For example, a passport, driving license or birth certificate.

- Each account has an expiry and renewal date that is used to highlight which accounts are due for renewal so that you are always in control. For example, passports must have at least 6 months remaining before allowed to travel to some countries, and it is unlikely you will receive a reminder in time.

- It is possible to enter a budget cost that may then be linked to a separate budget sheet that calculates the cashflow each month and whether there is sufficient funds for those unexpected events that are not planned. Perhaps a house repair, or surprise weekend away with your partner or friend. Entering all the account information is very straight forward and will help set-up the budget without you even realising it!

- Finally, the Virtual Office has been designed for use globally and will use the regional settings on your computer to format the currency entries. For example, if based in the USA the budget amounts will be automatically formatted in US dollars.

So how will the Virtual Office make your life easier?

- A quick and easy access to all those usernames and passwords. No more searching for bits of paper or notebooks, or in some cases no records at all. It is surprising how much we all do on-line these days and how many usernames and passwords we actually have. Did you know there are on average 100 passwords per person? No wonder most people try to use the same password!

- Do you try to use the same password so that you can remember it? If so, you are more susceptible to a cyber attack and more exposed than you may realise. Having a single source of information that can be accessed in seconds will encourage you to use different passwords and greatly increase your personal level of security.

- The Virtual Office has the ability to catalogue each document or account so that it is very easy to retrieve important account and contact information. It means that if, for example, you were to lose a wallet or purse, or have it stolen, the Virtual Office can create a list of all the missing documents and cards very quickly with all the telephone numbers and account numbers, etc. Hopefully this feature will never be needed but does provide a level of assurance and peace of mind.

- Have you ever wondered whether you can afford something now or later in the year? Perhaps money is tight and you are not sure if you will be able to manage all the expenses during the year. The Virtual Office will help set-up a budget without you even realising it, and the budget will automatically update itself when linked to the accounts. A very powerful tool that works extremely well.

- The budget will automatically let you know if there is sufficient income during the year to pay all the bills and whether there are sufficient funds for the unexpected events that can lead to yet more costs.

- The Virtual Office also contains some basic scheduling software that is very simple to use and will do all the planning for you. It will notify you when accounts or documents are due for renewal, and it will contain all the necessary information needed to update the account or document remotely. That is provided the information is entered correctly in the first place! Let the Virtual Office manage everything for you. You no longer need to miss any dates, or experience the inconvenience of not having an important document when needed. You will enjoy having all the visibility you need, and when you have it you will not want to return back to the old way of doing things! It puts you in control all of the time with a lot less effort.

- If receiving a new credit card or debit card, the Virtual Office has the ability to highlight all the accounts that used the previous card. There is no need to wait until a payment is rejected to find out you were using a card that has expired. With the Virtual Office it is possible to change the card details on each of the accounts impacted by an expired card by using one of the available and standard search functions.

What the Virtual Office is not intended for

-   The Virtual Office is not intended to replace all the hardcopies and important files that you may have for each account.  It is designed to capture just the important information that will enable you to manage your personal and business affairs remotely.  It is called a Virtual Office for a reason!

-   The Virtual Office is not intended to be shared with anyone else due to the often confidential nature of the information.  For example, it is likely to contain bank details, medical details and other confidential information.  It is important to seek advice on how best to protect the information from cyber attacks.
